This statement explains how Safe-In processes personal data when people use an account, attend a location, manage an organisation, or contact support.
1. Data we process
Depending on how Safe-In is used, data may include names, contact details, company, appointment and visit information, host details, compliance acknowledgements, account roles, device activity, support messages, and security logs.
2. Why data is used
Data is used to operate visitor and workplace processes, notify hosts and reception teams, support safety procedures, administer accounts, prevent misuse, provide support, and meet legal obligations.
3. Organisation responsibilities
For visitor and employee records, the participating organisation generally determines why and how the data is used. Safe-In processes that data to provide the service under the organisation’s instructions.
4. Sharing
Data is shared only where needed to provide Safe-In, including authorised organisation users and contracted service providers such as hosting, email, notification, and payment providers. Data is not sold.
5. Retention
Records are kept only for as long as required for the relevant service, configured organisation retention rules, security, dispute handling, and legal obligations.
6. Security
Safe-In uses access controls, encryption, logging, backups, and operational safeguards designed to protect personal data. No online service can eliminate every security risk.
7. Your rights
Depending on applicable law, you may request access, correction, deletion, restriction, objection, or portability. Visitor privacy requests can be directed to the organisation visited or submitted through Safe-In where available.
8. Contact
Submit privacy questions or concerns through the Safe-In support form and clearly identify the request as privacy-related.
